Custom Software vs Off-the-Shelf Software: Which Is Better for Your Business?

Off-the-shelf tools are quick to start with. Custom software fits the way you work. Here is how to decide — with the real trade-offs laid out.

The choice between custom and off-the-shelf software is rarely about technology. It is about how much of your business you are prepared to bend to fit a product — and what that costs you over three or four years.

The case for off-the-shelf

  • You can sign up today and start tomorrow.
  • Standard functions like accounting, payroll and email are well served.
  • Large vendors spread development costs over thousands of customers.

Where off-the-shelf starts to hurt

Problems usually appear as the business grows. Each tool solves one job, so you end up with a CRM, a timesheet app, a project tool, a document store and a reporting spreadsheet — none of which talk to each other properly. Your team becomes the integration layer, copying data between systems.

Then there is pricing. Most tools charge per user per month. At 5 users that is easy to ignore. At 40 users across four tools it becomes a significant monthly cost — for software that still does not match your process. We look at this in detail in custom CRM vs per-user licences.

How to decide

Choose off-the-shelf if

  • The function is standard and not a differentiator.
  • Only a handful of people will use it.
  • You are happy to change your process to match the tool.

Choose custom if

  • Your team works around the tools rather than with them.
  • You are paying for several tools that overlap.
  • Your process is part of how you win work.
  • You need one view of the business, not five exports.

Questions

Is custom software more expensive than off-the-shelf?

Upfront it can be, if you use a traditional project quote. On a flat monthly subscription with no per-user fees, a custom system that replaces several tools can compare well — especially as headcount grows.

Can we keep some of our existing tools?

Yes. A custom system can integrate with tools that work well, such as your accounting package, and replace the ones that do not.
