The problem

A custom manufacturer handles many jobs at once, and each one passes through many hands: sales, costing, drawing, office admin, purchasing, planning, production and dispatch. When this runs on spreadsheets, paper job cards, emailed PDFs and phone calls:

• Nobody can quickly see what stage a job is in, or who is holding it up
• Enquiries that haven't been won yet get mixed up with confirmed orders
• Quotes, drawings and invoices go through several versions, and it's easy to lose track of which one was approved
• Site measurements are written on paper and typed up again later
• Supplier hardware orders have to be checked by hand against what actually arrived
• Lost enquiries are rarely recorded, so the business can't learn why jobs are lost
• Managers can't see where jobs slow down without chasing people

A purpose-built operations app that mirrors the company's real process. The enquiry phase covers enquiry, costing & quote, quote approval and the 60% deposit invoice. The active order phase starts when the deposit is paid: measurement, shop drawing, revised costing, job card booked, planning & materials, production, ready & invoiced, delivered, completed.

Each team gets its own work queue. Every stage change is logged. Documents are versioned and kept on the job. Managers get a live board, personal dashboards and reports showing where time is spent. Access is role-based, and new users must be approved by an admin.
